Technology Work Orders

Tech Work Orders
Contact Us Link on the front page - use this only to provide suggestions for improvement or to make the process of entering work orders function better.
User name is your full email address
Password is your email password

Explanation of three checkboxes:
Network problem impacting MULTIPLE computers? - Only check that box if the problem is systemic affecting multiple computers or pieces of technology.
Are you taking the equipment to First Aid at Greenwood? - If you are transporting your laptop in for repair check the box next to this statement to prevent a Network Tech from making an unnecessary trip to your location.
Is the equipment owned by Child Nutrition Department? - Teachers and faculty would NEVER mark this box.

We now have the ability to upload screenshots of issues if applicable to facilitate repair. This is not mandatory but offered as a way to speed up the repair process.
Once submitted all work orders will display on your individual home page. You will be able to ascertain what if anything has transpired to resolve your technology problem.
Next to each work order submitted is a VIEW button. This will let you view and review your work order. You can make comments, read technician comments, and even close your work order if you are able to resolve the issue prior to the network techs opening the work order. Once a tech opens a work order you can no longer close the work order. You would still be able to place a comment in the text box and alert them that you have solved the problem; saving them a trip.
Cloning is also a fabulous button (tool) that provides an exact copy of the current work order allowing you to change minor details, serial numbers, etc. if you have several similar work orders to enter.
History area is another new feature that allows you to see the progress towards a solution.
All work orders submitted will remain on your home screen and even go to multiple pages as needed so that you have a full running record of any technology issues throughout the year.

Exchange 2010 - OWA Email

OWA - Email
We will be moving to Exchange 2010 this fall. The change will be completed a building at a time.
PC users - You should notice no difference. When your account is transferred you may notice a few emails come in late or seem to be held up. Buildings will roll over in the evening hours to prevent as much email displacement as possible. You may get a message to restart your email. That is to enable your Outlook to sync with Exchange 2010 and is a one time message.
Apple Users - Once your building moves to Exchange 2010 - you will always need to use the Online Web App (OWA) - Only those Apples running the latest OS and Office 2010 will be able to use their Entourage. Even then a patch must be loaded to each individual computer. At this time teachers will be using the OWA - this is a FULL FEATURED email client, and is much more robust than our previous Exchange server OWA. It functions very much like your Entourage.

PowerTeacher

We will be going paperless this year...as much as possible! Of course we will continue to print for those families without web access.

Setup Teacher Grade Books -
Review:
  • Groups - Important to have Report Options Set - Web Access and Printed Reports
  • Categories - Total Points each Category defaults to different point value / Category Weights each category 100% and the weight categories according to percentage of total grade - PLEASE do not weight individual assignments unless you have really thought through the process/effect
  • Filtering,
  • Putting in Assignment, and
  • Grade Setup,
  • Don't forget Reports!
Copy button is new and AWESOME!
Teachers set up one subject / one nine weeks correctly - they can then copy it down through the remaining nine weeks and across all other subjects/periods. If they do it correctly once they have it done correctly for the entire year. IF they do it incorrectly and copy it down their entire year will be wrong! Set up the first one correctly, then copy N1 only to the other nine weeks for that subject. Copy again for All Subjects / Periods and copy it down through the remainder of your semester/year.
Points vs. Category Weights
Always have this discussion with your faculty. If they use points - everything can't be 100 points. If they use category weights they should not also weight at the assignment level.
Term Weights
Elementary and Middle School - you do not need to do ANYTHING....the program is already set to average each nine weeks as 25% of their yearly grade.
Middle School Physical Science, Algebra I and High School - First Semester N1 and N2 = 40% and E1 = 20% -- then Second Semester N3 and N4 = 35%, E2 = 20% and G2 (End of Course) = 10%

Verify Grades
The verify grades button on the portal is red until grades have been verified and green once the verification has been submitted.
GradeVerify_Button.png
When verifying grades, make SURE that the grade appears as it should on the report card and that report card comments have been entered.
GradeVerifyScreen.png
IF a grade is incorrect on this screen, the teacher must go back to the gradebook to correct it, save the revision in the gradebook, and then go back to the verification screen via the portal. Once all grades and comments are showing correctly in the verification screen, grades can be verified. Place a check in the box and the program auto-dates when you are submitting your verified grades.

Then guidance or front office with STORE GRADES. Once that happens you will see two percentages like 94/94. If both percentages are the same then historical grades balance what is in the gradebook. If they are not alike, 94/98, then they must be made alike by either changing the gradebook to reflect the historical or submitting a change to the front office so that the historical can be changed to reflect the gradebook.

Parent Portal
This year all parents will set up their own unique user name and password to access the Parent Portal. They will also be able to see all their children (tabbed across the top) so they will not have to log out and log in for each separate child. This is a ONE TIME setup, and to set this up they will still need that "ugly" first log on for each child. Separate accounts can also be set up for parents who are not together, which is a vast improvement over them having to share the same log in information. Every parent will be prompted to set up their log in the first time they access the Parent Portal this fall. Directions / tutorials are being designed to facilitate this process and will be housed on the Parent Portal Log in Screen.
